“Zero lets us capture and connect data in ways that would've taken 6+ months to build ourselves. Time we simply didn’t have as an early stage business. We've got real infrastructure now without needing to hire.”

The problem

Manual work and disconnected tools couldn't support a growing pipeline

When Pantera set out to modernize financial modeling for real estate, they needed a CRM that wouldn't drain their budget. Co-Founder and COO Alex Wilson started with HubSpot's free tier, a practical choice while the team focused on building their product. But the trade-off was time: manually entering contacts and updating records to keep costs down.

As the pipeline grew, so did the overhead. Prospect outreach meant bouncing between tools to find contacts, enrich records, and draft messages. More information started to be kept outside of HubSpot. Lead data, prospecting lists, and key deal and meeting information spread across email threads, the CRM, Excel sheets, and LinkedIn accounts. These silos made it difficult for the team to share practical context in the moment or get clear, unified pipeline views.

Prepping for meetings meant reconciling data across systems. Alex and his co-founder regularly synced just to clarify where information lived. When deals closed, another round of manual work followed: logging wins, updating records, and capturing details across systems. It was a 7-step manual process just to get the client from closed won to onboarded. Now all of that can be automated with Zero.

Previous: Constant context switching across tabs and multiple systems

Alex explored reporting and automation tools within HubSpot. But each time, he hit an expensive paywall. “Every time we wanted to do something relatively straightforward, we were prompted to pay for add-ons or upgrade to a tier with many features we didn’t need,” he recalls.

The turning point came when Pantera dug into their own product roadmap. They were building AI-powered automation for their customers. If they believed in that vision, their own sales process couldn't run on manual workflows and disconnected tools. "The market was exploding with AI products," Alex explains. "I knew someone had to be building a more comprehensive solution."

Soon, Alex discovered Zero on LinkedIn. Other tools he evaluated felt like patches on top of legacy systems. Zero was different: AI-native from the ground up, and the first CRM that matched what Pantera was looking for.

“We didn't want to be left behind. If we didn't move to a modern CRM, we couldn’t easily capture valuable data and put ourselves in a position to grow.”

Solution

A unified, AI-powered system that automates CRM and GTM workflows

From the start, Zero's team worked directly with Pantera through a dedicated Slack channel to support onboarding and answer questions in real-time. Unlike their previous CRM, everything Pantera needed was included from day one, without expensive paywalls or forced upgrades.

Instead of manually entering and updating CRM records, Alex imports details directly from emails, document uploads, and LinkedIn. Zero automatically fills in contact and company records as it ingests data.

With Zero's built-in lead database, Pantera collapsed multi-step search, enrichment, and outreach into a single flow. AI finds lookalike leads, enriches them based on Pantera's preferences (tagging by industry, company size, and deal potential) then drafts targeted outbound sequences directly within the CRM.

Current: A seamless flow from lead search to closing deals in one system

Zero's interface brings lead and deal data into a single, up-to-date view. Information that once required digging through multiple screens now appears at a glance. "We skip five or six clicks per contact to find the details we need," Alex says.

That unified view extends to pipeline management. All the context needed for sales decisions, from last touchpoints to next actions, lives in one platform. Pipeline decisions now come from a shared source of truth instead of ad-hoc syncs.

Closed-won updates no longer rely on manual intervention. Zero surfaces signals like product usage, customer interactions, and expansion indicators, automatically capturing them in CRM records. The platform also tracks broader market changes (funding rounds, job changes) and turns those signals into prioritized tasks.

The CRM that used to create work now eliminates it. Enrichment, outreach, pipeline updates, closed-won tracking: Pantera finally has a sales system that matches how they actually sell.

”Zero gives us a new lever for growth. Everything's connected, and we save considerable time on every single contact.”

Results

4x CRM cost savings and a foundation built to scale

With a unified, automated sales workflow in place, Pantera now has a CRM infrastructure that scales with every new contact, deal, and customer relationship. The results:

8h hours saved weekly on contact management

4x cost savings (vs. legacy CRM tiers)

2 weeks to full platform adoption

The best part, according to Alex, is the collaborative relationship with Zero. Anytime he shares ideas about new ways to use the platform, he gets direct feedback or fresh automation workflows from the team.

“Zero tackled one of the hardest things in software: going up against industry giants with a brand new vision. You can feel how much they care, how much they believe in their product, and how much they want you to succeed.”

What's next

Pantera sees Zero as infrastructure, not just a tool. With customer data unified across contacts, deals, communications, and signals, they can build on top of it.

The team is most excited about:

  • AI-powered deal coaching: using call transcripts and email history to surface objection patterns.

  • Predictive pipeline scoring: identifying which deals are likely to close before they do.

  • Automated expansion signals: spotting upsell opportunities from usage data.

"We're running a sophisticated GTM without dedicated sales ops. Zero is the leverage.”
